Thesis Formatting Guide for Malaysian Universities (UM, UTM, UKM, UPM, USM): Surviving the IPS Check (2026)

You have finished writing. Your supervisor is happy. You print your draft and walk confidently into the Institute of Postgraduate Studies (IPS).

Five minutes later, you walk out with your thesis in your hand and a rejection slip.

1. The “Universal” Malaysian Standard (The 4.0 cm Rule)

While each university has quirks, there is one rule that rules them all: The Binding Margin.

Because your thesis will be hardcover bound (often in black, maroon, or dark blue), the glue and stitching take up space on the left side of the page.

• The “Gutter” Rule: The Left Margin must be 4.0 cm (1.57 inches).
• The Rest: Top, Bottom, and Right are usually 2.5 cm (1.0 inch).
• The Mistake: Do not just set the Left Margin to 4.0cm in Word. Use the “Gutter” setting if you are printing double-sided (Mirror Margins), or stick to a hard 4.0cm Left if printing single-sided.

Do not assume “APA Style” handles the formatting. APA is for citations. The Thesis Manual is for layout.

Universiti Malaya (UM) – The “Title Page” Trap

UM is famous for having a Title Page that uses a completely different font from the rest of the thesis.

• Body Text: Times New Roman, 12pt.
• Title Page: Arial Narrow. (Yes, really). The Title must be 18pt (uppercase), and the Author Name must be 16pt.
• The Trap: If you write your Title Page in Times New Roman, the IPS officer will spot it from across the room.

Universiti Kebangsaan Malaysia (UKM) – “Gaya UKM”

UKM has its own style called Gaya UKM. It is a modified version of Harvard/APA.

• The Bilingual Rule: You often need two Title Pages and two Abstracts (one in Bahasa Melayu, one in English).
• The Numbering: UKM is very strict on heading numbering (1.1, 1.1.1, 1.1.1.1). If you miss a level, you fail.
• Citations: For Malay theses, you must use “dan” instead of “and” in the brackets (Ali dan Tan, 2026).

Universiti Teknologi Malaysia (UTM) – The “Indentation” Obsession

UTM’s manual is engineering-precise.

• Paragraphs: The first line of every paragraph must be indented exactly 1.27 cm (0.5 inch).
• Spacing: There is NO double spacing between paragraphs. You just continue to the next line. (Most other unis require a blank line).
• Table of Contents: The leader dots (………) must align perfectly.

Universiti Putra Malaysia (UPM) – The “Appendices” Layout

UPM follows APA closely but has strict rules on the Appendices.

• Labeling: Must be labeled APPENDIX A, APPENDIX B at the top center.
• Pagination: The page numbers in the Appendix must continue from the main text. Many students accidentally restart numbering at “1” in the Appendix.

Universiti Sains Malaysia (USM) – The “List of Publications”

USM places high value on your published works.

• Placement: Depending on your school (Arts vs. Science), the List of Publications might go before the Table of Contents or at the very end. Check your specific School’s manual.

3. The Technical Nightmare: Pagination (i vs. 1)

This is the #1 reason students cry in front of their laptops at 3 AM.

Your thesis requires two different numbering systems in the same Word document:

1. Front Matter (Abstract, Acknowledgements, Lists): Roman Numerals (i, ii, iii).
2. Main Body (Chapter 1 onwards): Arabic Numerals (1, 2, 3).

How to Fix It (The “Section Break” Hack):

1. Click at the very end of your “List of Figures” page.
2. Go to Layout > Breaks > Next Page.
3. Double-click the Footer on the new page (Chapter 1).
4. CRITICAL STEP: Click “Link to Previous” to turn it OFF.
5. Now, format the page number to start at “1”. The previous pages will stay as “iv”.

4. The “Table of Contents” Disaster

If you type your Table of Contents (TOC) manually, you are doomed. When you edit Chapter 3, the page numbers will change, and your manual TOC will be wrong.

The Fix: You MUST use Microsoft Word’s “Styles” function.

1. Highlight “Chapter 1” -> Click Heading 1.
2. Highlight “1.1 Introduction” -> Click Heading 2.
3. Go to the top page -> References -> Table of Contents -> Automatic Table 1.

Result: Word updates the page numbers for you automatically forever.

5. Summary Checklist: Before You Go to IPS

Print this list and check it.

• [ ] Left Margin: Is it exactly 4.0 cm?
• [ ] Font: Is it Times New Roman 12pt (except for UM Title Page)?
• [ ] Spacing: Is it Double Spacing (2.0) or 1.5? (Check your manual—most are Double, but Abstract is often Single).
